What things do you need in your office space for good productivity?

Just when you’ve tried every trick in the book to be even more productive. There are some more tips you can try.  Many of us are looking for ways to maximize the 24 hours and 7 minutes we have every day. 

Believe it not it could be the space around us that could use some improvement. That space can be your work home or your home office. 

Take a look around you? Imagine your walking in for the first time. What things can improve your productivity can surely be your environment. 

Does your workspace make you feel at ease and motivated? Working in an office setting can become sedentary. Daily tasks don’t have to feel robotic and boring.

No more grey cubicle to snooze you away. Changing the decor can make your office become more exciting. What about your makeshift at-home office setting? 

Covid is not coming to a halt, more and more people are still working from home.

Reflect Visually on your Office Layout

Take a minute and stand at the front of your office as if you were a visitor. What little annoying things are catching your attention? 

Put them on a list form as actions. These are probably the small things that you never get to but still piles up. What message are you sending with stacks of unorganized paper on your desk? 

Doesn’t it look like a Pacman maze just to reach your desk? This is working on your layout. How your office space looks also displays how your work. 

It’s hard to focus in a load of chaos. Try to think of your office as real estate. You don’t want to add anything that doesn’t give you value. It can be valued in time, space, and mentally. 

Start by making departments and tasks into areas. Move things around and rearrange your office to make your space more efficient. Place the departments according to your workflow.

Take advantage of useful Technology

Use technology to communicate and collaborate more easily within your organization. 

Technology that is used more for communication like video calls, and the internet. You should have a good connection so ideas can be shared instantly.  Businesses must use technology as a tool, it’s rather a necessity more than anything.

Declutter your workspace 

Keep your workspace clear and open. There’s nothing more distracting than a cluttered desk. One part of your mind is focused on another task, the other figuring out what to do with this stuff.

It’s easy to fill your workspace with storage. Stuff comes in but nothing goes out. Then soon it gets overwhelming. Take an hour per week to organize and declutter.

Wipe down surfaces and find a home for everything that is staying. Once your office is clear the relief you will feel is amazing. Then, in turn, will give more mental space to tackle task quicker.

Personalize your office

Your office is a reflection of you. What you surround yourself with can influence your productivity. How can you affect the overall vibe of your office?

Throw your personality in the mix. Put some family photos close by to remind you of those you cherish. Add some greenery and decor to make it feel comfortable. It’s proven that adding more greenery to your office increases better oxygen. Better quality air helps with the energy you need to be productive!

Creativity inspires more energy which helps with the long hours. How about an inspirational quote or saying to push you through when you need it most.

Everyone tends to spend a quarter of their life at work.  Make it feel like a space you want to enjoy. Add your unique touch too.

Take Short Breaks

 Maintaining the flow of productivity from clocking in and out, you’ll need to take small breaks.   It’s better to stop when you’ve sensed that you’ve hit a wall or slowed down.

A 10 and 15 minutes break before and after your lunch break would help to stay focused throughout the day.  Quick Breaks give you time to get new perspectives on long projects.  It always feels great having a mental break and creating movement after sitting for hours. 

If possible I would even try doing some cardio for a ten-minute break. A small exercise break can be a great boost of energy versus grabbing that second coffee. Even if you don’t have time to move around for your breaks, make opportunities. 

Try putting different task-orientated office supplies further away from each other. Why not place your printer further away from your desk. This will cause you to get up to grab for example copied paper versus if your printer was closer. 

Create a Traveling Workspace

To allow your workspace to be more versatile it’s good to have other areas where you can continue to work.  Even if it’s in the same office building but you are able to work outside for some fresh air.  If you’re looking to transfer to someplace less disruptive, a quiet lounge area.

Create more workspace opportunities, which could benefit you to having a more flexible schedule. Most of us can relate to remote working.  Productivity can be more challenging at home. It does fortunately gives us more freedom with our schedules.

Limit distractions from small devices

Distractions from notifications can come from more than just our phones. Nowadays we have smartwatches, tablets, and more. Getting sucked down a Facebook rabbit hole is inevitable.

Then you suddenly realized 30 minutes of scrolling was not really productive. On Instagram, I could easily clock in a good hour looking at photos. Instead, we should be more mindful of time wasters. Finding a home for these gadgets would be the best option.

Even if it’s a desk drawer. out of sight, out of mind. When you’re crushing a good working hour, place small devices out of reach. Most cell phones have a do not disturb mode you can turn on.

Time yourself for at least five minutes and see what you can accomplish. I bet you’ll be more surprised as I was in how much work I can finish. Now my time is more valuable.

Make Shorter to do lists

Believe it or not, a long list doesn’t guarantee that you will get alot done. If anything it can be disappointing when you can’t finish a super long list.

What I recommend is to start by listing only your top three. The top three will be the things you add to your to-do list for the day. Otherwise, if something comes to mind, organize them into categories.

Some categories would be home, reminders, at work, and surely you can create a few of your own. At the end of the day, add them to your top three tomorrow. Keep this going for about a week. If it seems you can increase your top three list to five-try it out for a day.

Once you see how fast you get your tasks are done, or the number of distractions it would be more clear to the amount to list. Find out what your limit is and stick to it. 

You will have a sense of accomplishment finishing a small list. The confidence will propel you to feel more productive.

Create time to Reflect

Add to our to-do list, it’s good to carve out some time to reflect. This could be daily or weekly. Reflecting time would be at least 30 minutes of just going through your task lists.

Disgesting what worked and what didn’t work out. Listing things for opportunities or room for improvements. Don’t forget to add some positive things, self cheering and gratitude moments.

Think of yourself as downloading everything you’ve consumed throughout the day or week. You will be amazed how you can just go home and feel like you’re not thinking of work. 

This technique is similar to brain dumping. It does differ in the way of thinking about your feelings and creating direction.  After you do a reflection session make sure you go back to your to-do list and align them with any changes.

Adjust your Lighting

Lighting might be in the background that you might not think matters in your workspace. It’s easier to think about how lighting may affect your mood. Dimmer light is more relaxing, brighter is more awake and refreshing. 

Matching that to how your day is planned will increase productivity.  Absolutely start with the type of lighting you have in your office or work at your home office.  Bad lighting can cause more fatigue, eyes hurting from the strain, and headaches. If you are in a company office, it’s probably harder to control the lighting. 

What you can probably do is change out the light bulbs for more natural light. If you have some windows, open the curtains, let some natural light in.  Invest in light therapy.

Take a look at some lighting therapy products when shopping online. There are many light therapy devices that are supposed to help influence your mood.

Invest in a good office chair

At first, I was like it’s just a chair, and then I’ll be home later to lay on my comfy couch.  After a couple of long days at work, I realized that I spend most of my day sitting down. 

Quite frankly, sitting down is not comfortable as I should. When you ask yourself what could contribute to those lower back aches and slight neck pain, it could be your chair.

Most importantly your posture and how an office chair could contribute to better seating positions. Constantly adjusting, moving too often to get comfortable in your office chair can be really distracting.

Your chair is like your throne, it needs to suit you and your body properly. So then, I drove over to staples and sat in each chair just like I was buying a couch. 

Well, to myself I need to be comfortable and supported for eight hours. In the end, it was close to $200 I spent on my chair, but I look forward to sitting in it. This is a major difference from before.

The main key to having a better office space for productivity is to make it less distracting and more personalized.  Working with the space to allow more movement, but a purposeful movement for more exercise. 

Playing around with your surroundings including lighting and office room materials.  Introducing your personalities, to feel more comfortable and uplifting on less bright days.

Your office space can be a place of motivation not dread. It’s not just a place of work with eight or plus hours out of your life every day. Make investments and measures to design your office for being happy and getting stuff done!
